Password Reset Module

For our Enterprise Businesses the passwords for each business user to access the Corporate Dashboard accounts are defined through our own OFS Admin interface, as such users do not have the ability to update or reset their own passwords.  We have updated functionality to

  • create the password reset functionality,
  • automated emails and
  • define the minimum security requirements for passwords to access the Corporate Dashboard.

Cancellation Date displayed on client membership detail screen.

As a means to add more clarity in membership details and client record reviews, we have added the cancellation date to the Membership and Package Detail screens.

Corporate Dashboard KPI report - added totals to the columns

The current KPI report in the Corporate Dashboard does not have a “Total” column added on the report which subsequently requires users to download the .csv to manually total up the results. We have addressed the need for a total column by adding a row of total values for most of the columns just  underneath the “Average” column, frozen at the top of the screen with scrolling inline below.

Corporate Dashboard KPI report - New Columns added

This month we have updated the Corporate Dashboard columns to include the following new items:

  1. Rename the existing column called "Active client Paying Memberships" to "Closing Active Memberships". This column resumes the same logic as it did before:
    As of the last date selected in the date range, total count of unique client records with an active membership with greater than $0.00 recurring, or having been paid in full (no future dues, but is not yet expired or cancelled). Will not include those on Suspension
  2. Add a new column called "Opening Active Members". This column has the following logic:
    As of the start date selected in the date range, total count of unique client records with an active membership with greater than $0.00 recurring, or having been paid in full (no future dues, but is not yet expired or cancelled). Will not include those on Suspension.
  3. Add a new column called "Short term Suspension". This column has the following logic:
    Total unique count of members that are in the “Suspended” membership state as at the End Date selected in the date range whose suspension ends in less than 3 months from the End Date.
  4. Add a new column called "Overdue Active Members". This column has the following logic:
    Total unique count of members that are in the “Active” membership state that currently have a failed payment on their account as at the End date selected in the date range.

Waitlist client movement validation and email of removal

Scenario: As per configuration option, a valid credit is required to join the waitlist of a full session. If for some reason then the credit is disassociated from the session or used else where the client would be in the waitlist without credit. We have added logic to check for valid credit at time of movement from Waitlist to Booked, at that time if there is no package or credit available to re-associate and confirm booking status as paid, then the system will not move them to Booked but instead we will remove them from the session and send notice of their removal. The email sent to your client will read as follow:

Hi <CLIENTFIRSTNAME>,

Due to insufficient credit, you have been removed from the session <SESSIONNAME> with <INSTRUCTOR> from <STARTTIME> to <ENDTIME> on <DAYOFWEEK>, <STARTDATE> at <LOCATION> <LOCATIONADDRESS>.

Please log in to your account via the app to book a new session and buy more credits.

$0.00 POS item configuration and sales

Prior to this update, items could not be configured below $1, how ever we have understood that some businesses need to sell subsidized items as a freebie or goodies to be clubbed with another item(s) therefore the amount of the item needed to be less than $1 or even $0.

In response we now Allow $0 or < $1.00 POS items configurable by the business.

Please find the configurations for POS and Inventory items via the business dashboard> Payments> Retail Configuration> POS Inventory - Click the add or edit icon and adjust the price.

All sales including $0 items will display in the Revenue and Sales reports. 

 

Edit All Future Sessions

We have updated some logics to the Schedule> Session Detail > Edit All Future Sessions selection and process.  Prior to the update, any changes made to the session details for All future session would not only change and update the specific field changed by the user but also reassign the default instruct on all of the remaining future sessions, thus overwriting any substitutions actioned in those sessions in the future.

Now when edits are made to a recurring session, you the user will be offered a prompt to maintain future assigned substitute instructors or override the selected or template instructor:

When you select Override Instructor the Instructor you have selected during the edit and or the template designated instructor will replace any and all instructors for the remaining sessions recurring, but if you choose Maintain Future Instructor , then all session attribute changes are made but the instructor(s) are not overwritten. and maintained. 

A perfect use case of this new feature set is the following. 

Club A has create a Saturday 8am recurring 45 minute session from the Spin Template that set for 26 weeks and Roy was the instructor initially upon creation of all 26 sessions.  n at week 5 the club program manager need to substitute Roy with Becky every other week based on some availability shifts in Roy's Saturdays.  having set all of those Saturdays independently with Becky as the sub, the club program manager has decided that the capacity of the class needs to decrease from 25 to 22 because of equipment losses. navigating to the 5th week Session Detail page of this 8am Saturday Spin class allows the user to select Edit All future Sessions to which the manager reduces the capacity setting from 25 to 22. the system will now prompt as pictured above two options,  Maintain Future Instructor ( is preselected because the instruct filed was not augmented , only the capacity was changed) and Override Instructor. the Manager maintains the selection of Maintain Future Instructor and clicks confirm. The system will update the capacity to all remaining sessions on Saturday at 8am but Becky on her days and Roy on his.
