V2 Check-In Widget | Iteration 1

In order to improve the check-in experience for both business users and location members there is a new V2 Check-in Widget, in which the front desk operator will be able to view information related to the check-in status for the location member. Please read on for the details of this exciting feature. 

 

Overview of Iteration 1

 

Use Scenario

As a front desk operator, I want to see information displayed about clients who are checking in.

As a front desk operator, I need to see if there are new check-ins via the Check-in widget icon in the bottom corner at all times.

As a front desk operator, I need to be able to click on the check-in icon at any time and open up the Check-in widget to view the latest check-in(s).

As a front desk operator, I want to access the client record in the Client module when they check-in.

As a front desk operator, I want to add notes to the Client's record when they check-in.

As a front desk operator, I need to see and act on failed payment alerts displayed with the client’s information when they check-in.

As a front desk operator, I want a quick link to the New Sale interface with the client record already selected for sale.

As a front desk operator, I want to be able to retry failed/outstanding payments when the location member checks-in.

 

 

System logic

  • Front desk operator will be notified of new check-ins by the widget icon that will display that there are new check-ins by showing the number of new check-ins.
  • Valid check-ins will be displayed with green alerts.
  • Invalid check-in and invalid check-in with alerts will be displayed with red alerts.
  • Check-ins will be displayed from most recent to least recent on the widget.
  • The system will display the location member's name, picture, membership type, home location and next session in a card.
  • If the widget sidebar is open, the next Check-in profile card will be displayed in an open state as well.
  • The front desk operator can add new notes to the location member's record when they check-in. 
  • The front desk operator can access the location member's information by clicking View profile and opening a new tab to access the Client module.
  • The system will open a new tab when the front desk operator clicks on the Cart icon. The tab will take them to the New Sale interface with the client record already selected for sale.

 

Instructions for use

To enable the Check-in widget you should go to core and access Account settings > Configuration > Business profile and scroll down until you find Enable general check-inclick Edit and change it to yes, as displayed below:

After General check-in is enabled, navigation will be possible within anywhere inside Core by clicking on the Check-in widget icon to open the Check-in widget sidebar overlay. You may drag the widget icon to place it anywhere on your screen.

Empty state: no previous check-ins:

The widget icon without numbers indicates that there are no previous check-ins and when clicked, it will display the message informing that there are no previous check-ins:

When a client checks-in:

When a client checks-in via Barcode scan, Contactless check-in or Integrated gate controls, the Check-in widget icon will display the number of recent check-ins and they can be viewed by clicking the icon:

When clicking the Check-in widget icon, a client Check-in profile card will be displayed. The most recent check-in will always be displayed on top, showing all the check-in status, the user information (membership, home location and future session) and the options to Add notes to client record, View client profile and New sale.

Opened widget:

When the Check-in widget is open with a client profile card and another check-in comes through, the client profile card remains open and the new card will also be displayed in an open state.

The previous check-ins are also expandable and you can open/close them to view the location member's information as needed. The most recent check-in card can not be closed, it will always be presented as expanded.

Check-in status:

  • Valid check-in: Valid check-ins will be displayed with green alerts. It will happen when no alerts are found on the client account.

  • Invalid check-in: Invalid check-ins with alerts will be displayed with red alerts. It will happen when:
    • Invalid check-in - Suspended membership” : When account is found, but the member is suspended.

    • Invalid check-in - No valid membership or booking” : When account is found, but the member does not have any valid membership with General Check-in or class booking within 2 hours when attempting to check in.

  • Invalid check-in with alerts: Invalid check-ins with alerts will be displayed with red alerts. It will happen when there are payment alerts on the client's account as detailed below. If there is a Failed payment  the alert icon and line item will display at the bottom of the card:
    • Invalid check-in | With alerts - No valid membership or booking”: When account is found, but the client does not have any valid membership with General Check-in or class booking within 2 hours when attempting to check in.
    • Invalid check-in | With alerts - Suspended membership” : When account is found, but the membership is suspended.

 

When the status of the client's check-in is Invalid with alerts, due to failed or outstanding payments, the location user can click on Retry payment to open a new tab to the Client module with the payment tab opened.

View client profile:

When clicking on View profile inside the client check-in card, the system will open a new tab and redirect the business user to the Client Module with the selected client opened:

Add new note to client record:

When clicking on Add note, the system will open a new note tab and allow the business user to add a note to the record of the selected client. The new added note can be accessed inside core if you navigate to the selected Client record in the Notes tab.

When clicking the Cart icon, the system will open a new tab and redirect the business user to the New sale module with the client already selected under the Selected Client section:

As seen above, the new Check-in widget will allow the business user to have a better overview of the check-in as well as having easy access to some key functionalities os the system. We will soon release additional functionalities to this feature to improve it even more.
