Allow Instructor Assignment Without Full Session Edit Access

Overview

Hapana Core gives you the flexibility to assign primary instructors and substitutes directly from the Session Detail screen—without granting full session editing permissions. This is managed through the Enable Edit Instructor permission found in Team Access settings.

By configuring this toggle, you can give team members just the right level of access to manage instructor assignments while keeping other session settings protected.


Prerequisites

  • Admin access to Team Settings > Team Access Groups
  • Employee or Admin role that requires instructor assignment privileges
  • Familiarity with navigating the Schedule > Session Detail screen

Tip: The Enable Edit Instructor toggle is OFF by default. You must manually enable it for each role where instructor assignment is required.


Step-by-Step Instructions

Step 1: Log in to your Core account

Go to core.hapana.com and sign in with admin credentials.


Step 2: Open Team Access Group Settings

  • Click on your initials in the top-right corner of the dashboard.
  • Select Team Settings.
  • Click the Team Access Group icon in the top right.


Step 3: Select Role and Access Tab

  • Choose the Team Access Group role you want to configure.

  • Navigate to the Schedule Tab.

  • Scroll to find the Enable Sub Instructor and Enable Edit Instructor toggles.

Step 4: Enable Instructor Assignment

  • Toggle ON the Enable Edit Instructor permission.
  • Click Save to apply the changes.

Tip: You can enable this independently of the Sub Instructor toggle, giving fine-tuned access based on staff responsibilities.


Assigning Instructors in the Schedule

Step 5: Navigate to Schedule

Click Schedule in the top navigation bar and select a session.


Step 6: Open Session Detail

Click on a session to open its Session Detail screen.

Users with permission will now see:

  • A pencil/edit icon next to Instructor

  • Instructor and Substitute tabs to edit.

Tip: Users without this permission will still see the Sub Instructor field but will not be able to assign a new primary instructor.


Expected Outcome

Once the Enable Edit Instructor permission is enabled, users can:

  • Assign or update primary instructors
  • Assign or update substitute instructors
  • Do so without access to edit other session details such as time, session name, or capacity

This provides greater flexibility in instructor management while keeping broader session data protected.


FAQs

Q: Can users with this permission edit other session details?

No. This permission only allows for assigning instructors. All other session fields remain locked.

Q: What happens if both toggles (Sub and Edit Instructor) are off?

The user will not be able to assign either primary or substitute instructors from the Session Detail screen.

Q: Can this be enabled for only certain team roles?

Yes. You can apply it selectively to any team role using Team Access Group settings.
