Enabling the Pay By and Client Relation Features

Overview

If you need to associate family members, guardians, or other related individuals to a client profile, you can do this quickly in Hapana Core using the Relations section. This guide walks you through the process of linking a relation to a client account.


Prerequisites

  • You must have access to your Hapana Core Account.
  • Both the client and their relation must already have profiles in the system.

Step 1: Log in to Your Hapana Core Account

  1. Navigate to core.hapana.com/login.
  2. Enter your credentials and click Login.

Step 2: Go to the Clients Tab

  1. Click Clients on the top navigation bar.


Step 3: Search for the Client

  1. In the search bar, enter the client’s name, email, barcode, or phone number.
  2. Press Enter or click the search icon.

Step 4: Open the Client Profile

  1. Click the Client's Name to open their profile.


Step 5: Access the Client Information Panel

  1. Click the Client Information icon from the profile navigation bar.


Step 6: Enable Editing

  1. Click the pencil icon on the right side of the Primary Information section.


Step 7: Scroll to the Relations Section

  1. Scroll down until you find the Relations section below the client’s personal details.

Step 8: Search for the Relation

  1. Use the Relations search bar to find the profile you’d like to link using name, email, barcode, or phone number.

  1. Click Select beside the desired relation.
  2. The selected person will now appear in the Selected Relations list on the right.


Step 10: Save the Changes

  1. Scroll back to the top of the Primary Information section.
  2. Click Save to apply the updates and officially link the relation.

Tip: You can add multiple relations if needed. They’ll all display in the client’s Selected Relations list.


Expected Outcome

The linked relation will now be associated with the client account and visible in the profile’s Relations section. This helps with shared management, communication, and client relationship tracking.


Frequently Asked Questions

Q: Does the relation need to have a Hapana account first?

Yes, the relation must already exist in the system as a client profile.

Q: Can I unlink a relation later?

Yes, return to the same section and deselect the relation from the list before saving.

Q: Will the relation be able to see or manage the client’s account?

Not automatically—relations are informational links unless permissions are specifically set elsewhere.
