Overview
This guide shows you how to use Smart Lists in GROW to organize and segment your leads and clients. Smart Lists let you filter contacts based on criteria like tags, activity, or campaign engagement — so you can target the right people at the right time. Perfect for keeping your marketing sharp and your follow-ups relevant.
Who this is for: Studio owners, managers, and team members using GROW to manage lead journeys and automations.
Prerequisites
Before you begin, make sure you have:
- Access to your GROW subaccount
- Contacts already added to your system
- Basic understanding of tags, campaigns, pipelines and custom fields passed on from CORE to GROW HERE.
- The Contacts permission enabled for your role
Step 1: Open your Smart Lists

From your GROW dashboard, click Contacts in the left-hand menu.

You’ll land on the Smart Lists tab by default. If not, click Smart Lists at the top.
Tip: Smart Lists auto-refresh — any time a contact meets your filter conditions, they’ll be added in real time.
Step 2: Create a new Smart List

Click the More Filters button above your contact table.

Choose your first filter category (e.g. Tag, Date Added, Pipeline Stage, etc.).

Select the specific value or range you want to filter by.

Once your filters are set, click the Save as Smart List icon (the floppy disk).
Tip: Use filters like “Active Package Category Contains ’” or “Last Activity > 30 days ago” to track follow-up opportunities. You can also combine filters to search for multiple combinations to create smart lists.
Step 3: Name and save your Smart List

Give your Smart List a clear name — something like “Active Members” or “Active Leads” or a description of the people the list is regarding.

Click Save to confirm.
Your new list will now live under the Smart Lists dropdown for quick access anytime.
Step 4: Use your Smart List in campaigns
Once your list is saved, you can:
- Enroll these contacts into a campaign
- Create a bulk action (like sending an email or assigning a task)
- Trigger automations based on list membership
Tip: Smart Lists are dynamic — you don’t need to update them manually. Set your rules and let GROW do the sorting.
Expected outcome
You’ll have a dynamic Smart List that automatically updates with the right contacts based on your chosen filters. You can then use this list in campaigns, automations, and bulk actions to personalize outreach and save time.
Troubleshooting / FAQs
Q: Can I delete a Smart List?
A: Yes. Click the Smart Lists dropdown, hover over the list name, and click the trash icon to delete.
Q: Are Smart Lists shared with my team?
A: Yes. You can click on Manage Smart Lists in the Contacts modal and determine which users you’d like to share access for each smartlist.
