Sync Your Calendar with Core Bookings

Overview

This guide walks you through how to sync your Hapana calendar with external calendar apps like Google Calendar, Apple iCal, and Microsoft Outlook. This is a great way to stay on top of class bookings and schedule changes, even when you're away from your Hapana dashboard.


Prerequisites

  • You must have admin access to your Core account.
  • You need the calendar feed URL provided by Hapana.
  • Ensure you have access to the calendar app you're syncing with (Google, iCal, or Outlook).

Tip: Most calendar platforms only refresh synced calendars every few hours—new bookings won't appear instantly.


Step 1: Locate Your Calendar Sync URL

  1. Log in to Core.
  2. Click Account Settings in the top menu.
  3. Click the Integrations tab.
  4. Find Calendar Sync and click View Details.
  5. Copy the URL provided by Hapana.


Google Calendar Setup

  1. In Google Calendar, click the down arrow next to Other calendars.
  2. Select Add by URL.
  3. Paste the calendar URL provided by Hapana.
  4. Click Add Calendar.

Tip: Events may take a few hours to appear. Google Calendar does not support manual refresh.


Apple iCal (iPad & iPhone)

  1. Go to Settings > Mail, Contacts, Calendars.
  2. Under Accounts, click Add Account.
  3. Select Other > Add Subscribed Calendar.
  4. Paste the calendar URL provided by Hapana into the Server box.
  5. Click Next, adjust the description, and click Save.
  6. Make sure Fetch New Data is set to update regularly.

Apple Calendar (Mac)

  1. Open the Calendar program.
  2. From the File menu, select New Calendar Subscription.
  3. Paste the calendar URL, then click Subscribe.
  4. Adjust the name, color, and auto-refresh setting to Every day (recommended).
  5. Click OK.

Microsoft Outlook 2007

  1. From the Tools menu, select Account Settings.
  2. Click the Internet Calendars tab.
  3. Click New and paste the calendar URL.
  4. Click Add.
  5. In the Subscription Options box, optionally rename the calendar and check the Update Limit option.

Expected Outcome

Your Hapana schedule is now synced with your external calendar, making it easier to track sessions on the go.

Q: How often is the calendar updated?

A: Most calendar platforms sync every few hours. There is no way to manually refresh Google Calendar.

Q: Can I edit bookings from my calendar app?

A: No, external calendars are read-only. You must make changes in Core.

Q: What if the calendar isn’t syncing?

A: Double-check that you’ve pasted the URL correctly. Also, ensure auto-refresh is enabled in your calendar settings.
