How to Create and Manage Client Groups

Overview

Groups in CORE let you organize clients into categories like “6-Week Challenge” or “VIP Members.” Once grouped, you can easily send group messages or book them into classes all at once. This saves you time and makes communication and scheduling more efficient.

Prerequisites

Before you begin:

  • Make sure your user role has access to Clients and Messaging
  • Have a group name in mind (e.g., "6 Week Challenge")
  • Optional: A group image to upload

Step-by-step instructions


Step 1: Create a new group

  1. Click on the Clients tab
  2. Select Groups from the dropdown
  3. In the top-right, click Add Group
  4. Fill out the group name (e.g., “6WC”)
  5. Optional: Upload an image to represent the group
  6. On the left, search and select clients by name, email, or phone
  7. Once all clients are added, click Create Group

✅ The group will now appear in your main list with the total number of members visible.


Step 2: Message a group

  1. Click the speech bubble icon 💬 in the top right
  2. In the message pop-up, scroll down to Groups
  3. Select the group you want to message (e.g., “6WC”)
  4. Choose to send:
    • Email
    • SMS
    • Push notification
  5. Type your message and click Send

💡 Use this to update challenge groups, event lists, or special offers.


Step 3: Book a group into a class

  1. Go to the Schedule and select a class (e.g., Friday 6 a.m.)
  2. Scroll to the bottom right and click Add Clients
  3. In the pop-up, switch from Clients to Groups
  4. Find and select your group (e.g., “6WC”)
  5. Click Add to Class

All group members will now be booked into the session — no need to add them one by one.


Expected outcome

You’ll now have a custom group of clients that can be easily messaged or scheduled as a unit. It saves time and ensures consistency across your client base.


FAQs

Q: Can a client be in more than one group?

A: Yes — clients can be added to multiple groups with no issues.

Q: Can I remove or edit a group after it’s created?

A: Yes — you can manage groups at any time from the Clients > Groups section.

Q: Will clients know they’ve been added to a group?

A: Not automatically — they’ll only be notified if you send them a message.
