How to Set Up Your Email Configurations and Communication Blackout Times

Overview

Setting up your email configurations ensures that automated messages are sent from the correct name and address — and at the right times. You’ll also be able to set blackout periods to prevent clients from receiving late-night emails or SMS messages.

Prerequisites

Before you begin:

  • Make sure you have admin access to Account Settings
  • Have your business email address and sender name ready
  • Decide when you want automated messages to pause overnight

Step-by-step Instructions

Step 1: Open your email configuration settings

  1. Click your Location Name at the top of your dashboard
  2. Go to Account Settings > Configurations
  3. Scroll to Custom Emails Triggered by Hapana
  4. Click Edit


Step 2: Access email configuration options

  1. Find the cogwheel icon labeled Email Configurations
  2. Click the icon to open your default email settings


Step 3: Confirm sender name and email

  1. Make sure the Sender Name and Email Address are correct
  2. These details will appear in the “From” field when clients receive automated messages

Tip: Double-check this during onboarding — especially if you're using a shared or placeholder email.


Step 4: Set up communication blackout times

  1. Still inside the configuration window, locate the Blackout Time section
  2. Adjust the time range to control when SMS or email triggers are paused
    • Example: 09:00 PM to 6:00 AM
  3. Messages outside this time range will not send, unless listed as exceptions

Tip: Use blackout times to avoid waking clients with messages in the middle of the night.


Step 5: Review app shortcodes (optional)

  1. Scroll to the bottom of the window
  2. You’ll see shortcodes used in automated messages
  3. These links help clients open apps directly from their email or SMS (iOS and Android)


Expected outcome

Your email configuration will be updated with the correct sender info and blackout times. Clients will only receive messages during approved hours, and your messages will look polished and professional.

Q: What happens if I don’t set blackout hours?

A: All email and SMS triggers will send 24/7 — including overnight.

Q: Can I change this after onboarding?

A: Yes — you can update sender details or blackout times at any time through Configurations.

Q: Do blackout hours apply to manual emails too?

A: No — blackout only applies to automated triggers, not messages you send manually.
