This guide explains how to configure your schedule visibility, booking rules, cancellation windows, and waitlist lock periods in CORE. These settings help manage when members can view, book, cancel, or join a waitlist for classes and appointments — giving you more control and structure around studio scheduling.

Prerequisites
Before you begin:
- You must have admin access to Account Settings
- Your location must already have a published class or appointment schedule
- You should know how far in advance you want clients to see and book sessions
Step-by-step instructions
Step 1: Set how far in advance members can view the schedule
- Go to Account Settings > Configuration
- Scroll to Business Profile and click the Edit button
- Look for the Days to Display setting
- Enter how many days ahead members can view the schedule (e.g., 14 days)
Tip: This controls visibility only — not how far ahead they can book.
Step 2: Choose how members can reserve sessions
- Under Reservations, select either:
- Timed Release: Classes are released on a set day and time each week (e.g., Mondays at 1pm)
- Rolling Release: Classes become bookable based on the number of days in advance (e.g., 7 days)
Tip: Use Rolling Release to match your booking window with the Days to Display, or create a staggered view.
Step 3: Configure cancellation windows
- Under Cancellations, set how far in advance members can cancel:
- Choose different rules for Classes, Privates, and Workshops
- This defines how many hours before a session a member can cancel without losing a session credit or incurring a penalty
Tip: Be clear with your clients about your cancellation policy to reduce disputes.
Step 4: Set the waitlist lock period
- Scroll to the Waitlist Lock Period
- Set how many hours before a session starts that the waitlist becomes locked
- After this time, no one can be added to the class or waitlist
Example: A 1-hour lock means no new waitlist entries can be made within 1 hour of class start time.
Expected outcome
Once these settings are saved, clients will see and interact with your schedule based on the visibility, booking, cancellation, and waitlist rules you’ve defined — helping your team better manage bookings and no-shows.

Q: What’s the difference between Timed Release and Rolling Release?
A: Timed Release unlocks a week’s schedule all at once on a specific day and time. Rolling Release unlocks sessions one at a time based on how many days ahead a member is allowed to book.
Q: Will the system block last-minute cancellations?
A: No — members can still cancel late, but they may lose a session or be charged based on your configured policy.
Q: Can I set different cancellation rules for different services?
A: Yes — you can create separate cancellation windows for classes, privates, and workshops.
