How to Send direct messages to Clients, Groups, Sessions

Overview

Need to send a quick update to one client or a group? You can send direct messages via email, SMS, or push notification straight from Core. This is perfect for sending last-minute class info or direct communication — but not for marketing!

⚠️ Important: For marketing messages or bulk outreach, use Hapana Grow or your dedicated marketing platform.

Prerequisites

Before you begin:

  • You must have access to Core with messaging permissions enabled
  • Client profiles must have valid contact info (email, mobile number)
  • Groups must already be created if you want to message by group

Step-by-step instructions

Step 1: Open the messaging tool

  1. From the top nav, click the speech bubble icon for messaging
  2. Choose your audience: Clients, Groups, or Sessions

Tip: You can select individuals one by one or use filters to target an entire group or session list.


Step 2: Select who you want to message

  • Clients: Pick from your client list or select all
  • Groups: Choose a pre-built group (like a challenge or class group)
  • Sessions: Target those booked into a specific session or class

You won’t be able to select “booked” or “waitlist” sessions unless there are clients already assigned.


Step 3: Choose your message type

After selecting your recipients, click Configure Message.

You can choose from:

  • Email – sent to the email address in the client’s profile
  • SMS – sent to the mobile number in the profile
  • Push notification – delivered via your branded mobile app

Tip: Push is free and shows up as a notification on the client’s phone. Use this for fast, non-intrusive updates.


Expected outcome

Your selected clients will receive your message instantly via the method you chose — email, SMS, or push. You'll be able to see a summary of who it was sent to.

Q: Can I send the same message to both email and SMS?

A: Yes — you can choose multiple methods, but keep in mind SMS limits.

Q: Are SMS messages unlimited?

A: No — your account comes with a fixed number of SMSs per month. Most studios reserve SMS for automated trigger messages.

Q: Can I use this tool for promotions or marketing?

A: No, use Hapana Grow or a marketing tool for campaigns and bulk messages.
