How to Suspend a Membership

Overview

This guide shows you how to suspend a client’s membership in CORE — whether they’re going on holiday, recovering from injury, or just need a break. You’ll also learn how to apply a suspension fee and track all suspended memberships across your studio.

Prerequisites

  • Admin access to the Clients and Reports tabs
  • The client must have an active membership
  • You must know the desired suspension start and end dates

How to suspend a membership

1. Open the client’s profile

  1. Click Clients from the top menu
  2. Search for the client by name, email, phone, or barcode
  3. Click on their name to open the profile

Tip: You’ll land in the Payments tab by default

2. View the membership

  1. Scroll to the Memberships section

  2. Click the eye icon next to the active membership

  3. This opens the membership details page

3. Change the status to suspended

  1. Next to Current Status, click the pencil icon
  2. Select Suspended from the dropdown

You’ll now see options for:

  • Start date of the suspension
  • End date (or no end date if open-ended)
  • Suspension fee, if applicable

Tip: Always align suspension dates with billing cycles to avoid overcharging. Hapana does not automatically prorate.

4. Add optional suspension fees

You can charge:

  • A one-time flat fee (e.g., $30 total)
  • A recurring fee (e.g., $10 per week of suspension)

Set your amount, frequency, and click Update Status. Then Confirm the change.

You’ll now see:

  • The membership status updated to Suspended
  • Future invoices updated with the suspension fee
  • The regular billing invoice paused during the suspension

5. View suspension history

  • Under the membership details, find the Payment Statistics section.
  • Click the eye icon to see all past and upcoming suspension periods.


How to report on suspended memberships

  1. Click Reports in the top nav
  2. Under Financial, choose Suspended Memberships Report
  3. Filter by date range to see upcoming or active suspensions
  4. You’ll see client name, dates, and status at a glance


Expected outcome

The client’s membership will be paused for the selected dates. Their regular payments will be paused, and any added suspension fees will generate as invoices.


FAQs

Can I suspend a membership without an end date?

Yes — just leave the end date blank. You can update it later.

Will suspension fees charge automatically?

Yes — if you add a fee and save, invoices will generate according to the setup.

Can I view past suspensions?

Yes — they’re listed under the Suspensions tab in the membership view.
