How to Add a New Client to the System

Overview

Need to add someone new to your client list? Whether you’re doing it from the dashboard or directly from the Clients tab, adding a new client in CORE is quick and simple. This ensures they’re ready to receive a welcome email, purchase a membership, and start booking.

Prerequisites

Before you begin:

  • Make sure you’ve configured your client sign-up fields in Account Settings > Configuration
  • Ensure your user role has permission to add or manage clients
  • Have the client’s basic contact details ready (name, email, etc.)

Step-by-step instructions


Option 1: Add from the home dashboard

  1. From the Home Dashboard, click the plus icon âž•
  2. Fill out the client’s information (based on your configured fields)
  3. Optional: Toggle Send welcome email if you want them to receive a login link
  4. Click Save

✅ Tip: This is a quick way to add a client when you’re already managing activity on the dashboard.


Option 2: Add from the Clients tab

  1. Click on the Clients tab in the top navigation
  2. Click the Add Client button in the upper-right corner
  3. Fill out the required fields
  4. Click Save

Tip: Use this method when you're reviewing or updating client records and want to manually add someone new.


Expected outcome

The new client will be added to your database and can immediately be assigned a membership, package, or booking. If you chose to send a welcome email, they’ll also receive login instructions for your app or portal.


FAQs

Q: What if the client didn’t receive the welcome email?

A: Double-check their email address for typos and ask them to check their spam folder. You can also resend it manually.

Q: Can I customize the fields shown when adding a client?

A: Yes — go to Account Settings > Configuration > Client Sign-Up Fields to adjust what's required.

Q: Can I add a client without sending the welcome email?

A: Yes — just leave the Send welcome email toggle off when adding them.

Q: Why can’t I add a client?

A: Common factors  that may affect adding clients into the system:

  • The @ symbol has been missed in the client’s email address
  • The client account is already registered in the system but was not associated or not active
  • The client is associated with another Studio. In this case. use the 'Corporate Client LookUp' function to add them.
