CORE | Manage Waitlists and Cancel Sessions

Overview

This article explains how to use waitlists for full sessions and how to cancel or delete sessions from your CORE schedule. It covers adding and managing clients on the waitlist, auto-confirmation options, and the difference between cancellation and deletion.

Prerequisites

  • A scheduled class with a capacity limit
  • Waitlist settings configured under your account preferences

Step-by-step instructions


Step 1: Add clients to the waitlist

  1. Go to Schedule
  2. Click on a class that is fully booked (e.g. 30/30 capacity)
  3. The Waitlist button will appear
  4. Click Waitlist and search for a client
  5. Select the client and click Add Client
  6. Repeat to add more clients

Tip: You can drag and drop to reorder clients in the waitlist.

 

 

 


Step 2: How the waitlist works

  • Once a client drops out, the first person on the waitlist is notified
  • You can configure settings so:
    • Clients are automatically added to the session
    • Clients must accept or decline the spot
  • If declined, the next person on the list is notified

Tip: You can manually remove clients from the waitlist at any time.


Step 3: Cancel or delete sessions

  1. In the Schedule, find the session you want to modify
  2. Click the Pencil Icon
  3. Choose either:
    • Edit Only This Session — brings up Cancel and Delete options
    • Edit or Future Sessions — shows Delete only

 

 

Cancel

  • The session remains on the schedule
  • Marked as Cancelled
  • Clients cannot view who was booked in

Delete

  • The session is fully removed from the schedule

Step 4: Hide cancelled sessions

  1. Click the Cog Icon in the schedule view
  2. Select Hide Cancelled Sessions
  3. Locate the cancelled session
  4. Toggle Hide and click Confirm

Tip: Hiding helps keep your schedule clean for staff and clients.


Expected outcome

Waitlists are efficiently managed with flexible confirmation rules. Cancelled sessions remain visible (or hidden) for recordkeeping, while deleted sessions are removed completely.


FAQs

Q: Why can't I add someone to the waitlist?

A: The session must be full before the Waitlist button appears.

Q: What happens when I cancel a session?

A: It stays on the schedule as "Cancelled" unless you choose to hide it.

Q: What’s the difference between cancel and delete?

A: Cancel keeps the record visible; delete erases it completely.
